The City of Mbombela invites capable service providers to bid for the provision of catering, stage and sound system, audio-visual and transport services for an outreach programme in the Southern Region. The event will take place at Fairview Community Hall.
City of Mbombela Seeks Event Services Provider
The outreach programme is the Office of the Chief Whip’s Class of 2026 Exam Prayer event. The appointed service provider will be required to render all services in accordance with the specifications and requirements set out in the bid document.
Scope of Work and Event Details
The successful service provider will deliver:
- Catering services for 600 attendees including lunch, still water and assorted soft drinks
- Professional PA system with minimum 5,000-8,000 watts RMS
- Podium stand, local artist and live band
- Background and stage decoration
- Audio-visual services including HD cameras, tripods, monitors and operators
- Transport services for learners from five schools to Fairview Community Hall
Mandatory Documents Required for Bidders
Bidders must submit the following compulsory documents:
- Valid Tax Compliance Status (TCS) PIN
- Proof of company registration
- Certified copies of business director(s) identity documents
- Full Central Supplier Database (CSD) registration report not older than 30 days
- At least one certified appointment letter or purchase order with reference letter for catering services for 100 or more people
- Certified copy of a valid Certificate of Acceptability (CoA) for food safety and hygiene
- Certified qualification, ID and CV of the proposed Project/Culinary Leader with minimum three years’ experience in food handling
Municipal Rates and Tax Compliance Requirements
Bidders must submit valid municipal rates and taxes statements for the business premises and each active director. Where premises are leased, a valid lease agreement with the lessor’s rates statement must be provided. Bids will be rejected if municipal accounts are in arrears for more than 90 days.
Key Personnel and Experience Requirements
The proposed Project/Culinary Leader must have a minimum of three years’ relevant experience in food handling and preparation and possess a certificate in food handling or a higher relevant qualification. Where the individual is not employed by the bidding entity, a signed consent letter confirming their availability must accompany the bid.

How to Submit Your Bid
Submit your completed bid document in a sealed envelope marked with the bid number, description and closing date to the bid box at Mbombela Civic Centre, 1 Nel Street, Mbombela, before 25 September 2026 at 11:00. No briefing session will be conducted. Late bids will not be accepted.
