The Mining Qualifications Authority (MQA) invites experienced service providers to submit quotations for the supply and implementation of two SMART Boardrooms at its head office. This strategic 12-month project aims to modernize meeting environments through the integration of advanced audiovisual and automation technologies.
Scope of Work
The successful bidder will supply and install all required equipment, including:
- Display systems including interactive smart displays, LED/LCD screens and digital whiteboards
- Audio systems with ceiling microphones, DSP audio processors, ceiling speakers and echo cancellation
- Video conferencing equipment including PTZ cameras, AI-enabled tracking cameras and conference room PCs
- Collaboration tools including wireless presentation systems and touch panels
- Control and automation systems integrated with Microsoft 365
- Network and connectivity components including structured cabling and network switches
Boardroom One will accommodate 15-30 users using Yealink MVC860 or equivalent. Boardroom Two will accommodate 40-70 users using Yealink MVC S90 or equivalent, including a 5,000 lumens laser phosphor projector and 150-inch motorised screen.
Mandatory Compliance Documents Required
Bidders must submit the following mandatory documents:
- Proof of registration on the Central Supplier Database (CSD)
- Valid Tax Clearance Certificate or Tax PIN
- B-BBEE Certificate of Measured Entity
- Completed and signed SBD 4 Declaration of Interests Form
- Completed and signed SBD 6.1 Preference Points Claim Form

- Contract Duration: 12 months, including support and maintenance post-SLA signing.

Submission Guidelines
Completed bid documents must be submitted in strict accordance with MQA’s supply chain management policies. Bidders must ensure all pricing schedules and standard bidding documents are fully completed, signed, and submitted before the closing deadline to avoid disqualification.
