This strategic procurement initiative seeks a partner capable of delivering an elegant, sophisticated, and culturally inspired dining experience to celebrate the dedication of Artscape’s staff.

    Event Details and Theme

    The awards ceremony is scheduled for Thursday, 26 November 2026, at the Artscape Theatre Centre, located at D.F. Malan Street, Foreshore, Cape Town. The evening’s theme is “Exquisite African,” requiring the appointed provider to curate an atmosphere that reflects cultural elegance. The event will commence at 17:30 and will cater to approximately 120 guests, necessitating seamless coordination and high-quality hospitality services.

    Scope of Services

    The successful service provider will be responsible for a comprehensive suite of event hospitality services. Key deliverables include:

    • Providing a fully Halaal-compliant catering service, encompassing canapés, dinner, dessert, and beverages.
    • Proposing a suitable dinner menu featuring diverse main-course options, appropriate accompaniments, and at least one dedicated vegetarian option.
    • Supplying all specified décor, table settings, and equipment, guided by reference photographs provided by Artscape to ensure alignment with the theme.
    • Deploying an adequate number of suitably trained and professionally presented waitstaff for the duration of the event.
    • Managing the complete logistics of delivery, preparation, set-up, maintenance, clearing, dismantling, and collection of all items.

    Mandatory Compliance and Quotation Requirements

    To be considered responsive, bidders must submit a detailed quotation that addresses all operational and administrative criteria. Essential submissions include:

    • A proposed catering menu and a copy of a valid Halaal certification.
    • A detailed cost breakdown covering catering, delivery, set-up, dismantling, and collection.
    • The total quotation amount, clearly indicating VAT where applicable.
    • Written confirmation of availability for the event date of 26 November 2026.
    • A valid B-BBEE certificate to support transformation goals.
