The service must support secure, reliable, and cost-effective print, copy, and scan services across distributed operational sites, including remote locations.

Scope of Work
The successful bidder will be responsible for an end-to-end managed print solution, including:
- Supply, delivery, installation, and commissioning of new, current-production A4 and A3 multifunction printers
- Configuration of print, copy, and scan functions, including scan-to-email/folder
- Print management software for monitoring, reporting, and usage analysis
- Proactive preventative and corrective maintenance
- Supply of all consumables (toner, drums, spare parts)
- 24/7 helpdesk, remote, and on-site support in line with the Service Level Agreement
- Monthly service, usage, and SLA compliance reports
Security and Sustainability
The service must support secure, efficient, and sustainable printing while enhancing information security and reducing environmental impact. Devices must support AES-256 encryption and secure hard drive wiping before removal or disposal. Bidders must demonstrate adherence to POPIA and CapeNature’s ICT security policies.

Mandatory Requirements
- All devices must be new, current-production models
- Minimum print speed of 30 pages per minute
- Duplex printing and automatic document feeder capability
- Secure print release via PIN or equivalent
- Scan-to-email and scan-to-folder functionality
- Support for energy-efficiency certifications (ENERGY STAR, Blue Angel, or equivalent)
