Scope of Work
The event is scheduled for 18 August 2026 for 30 attendees . The successful bidder must provide:
- Breakfast (08:30): Assorted sandwiches, muffins & scones, tea, coffee with accompaniments
- Lunch (13:00): Rice and pap, beef stew and grilled chicken, chakalaka, green salad, creamed spinach, and coleslaw
- Drinks: 100% fruit juice, soft drinks, and bottled mineral water
Mandatory Requirement
Bidders must submit a valid Certificate of Acceptability for Food Premises issued by a municipality. This is a strict requirement, and non-submission will result in automatic disqualification .
Operational Specifications
Quotations must be submitted on official company letterhead and emailed to Quotations1@dffe.gov.za . The catering company must:
- Bring their own cutlery, crockery, and serviettes
- Use dedicated bins and remove waste after the service
- Provide staff in appropriate uniforms and PPE (disposable gloves, hair nets, closed shoes, aprons)
- Transport meals in vehicles that maintain the cold chain
Evaluation and Preference Points
The 80/20 preference point system applies. A maximum of 20 points will be awarded for specific goals if the bidder has more than 50% ownership by Black people, women, or persons with disabilities . Bidders must submit a complete and signed SBD 6.1 form and supporting documents.
Submission Details
Quotations must be valid for 90 days. Late submissions will not be accepted. The DFFE reserves the right not to award the contract to the lowest bidder.
