Scope of Work and Personnel Requirements
The successful service provider will be required to supply seven (7) trained cleaning staff to maintain various areas including offices, boardrooms, kitchens, canteens, distribution areas, stores, packaging facilities, and experimental animal facilities. Staff must be trained and experienced in GMP Facility Cleaning, with services required Monday to Friday from 06:30 to 15:30 .
Mandatory Requirements
Failure to submit any of the following documents will result in immediate disqualification:
- Proof of valid COIDA registration for cleaning services
- Membership with the National Contract Cleaners Association (NCCA/BEECA or equivalent)
- Minimum of 2 reference letters (not older than 5 years) demonstrating experience in GMP-regulated pharmaceutical environments
- Proof of public liability insurance (minimum R500,000) – original letter or certified copy
- Valid UIF Compliance Certificate issued by Department of Labour
Cleaning Standards and Materials
OBP requires strict adherence to colour-coded cleaning cloth systems: Yellow for workstations, Blue for lifts and windows, Red for bathrooms, and Green for kitchens. The contractor is responsible for supplying all cleaning consumables, chemicals, detergents, and disinfectants, while OBP provides water and electricity .
Staff Supervision and Uniforms
The contractor must provide a competent supervisor responsible for attendance, quality monitoring, and completing daily check sheets. All cleaning personnel must wear good quality uniforms with visible identification badges. Relief staff must be made available within 2 hours of notification.

Insurance and Liability
The contractor must maintain public liability insurance covering death, injury, or property damage. All insurance, including UIF and accident cover for cleaning staff, must remain in force for the contract duration. Proof of insurance must be provided within 7 days of award .
