Service Requirements and Specifications
The scope covers comprehensive catering for 30 delegates across two days. Services include:
- Morning sessions with coffee, tea, juices, fruit platters, muffins, and sandwiches.
- Lunch service featuring starch options, salads, and meat dishes (lamb stew, grilled chicken).
- Afternoon tea with sweet pastries, savoury snacks, and beverages.
- Dinner service on 24 March with pap, garlic bread, salads, and braai items.
- Provision of cutlery, crockery, tablecloths, serviettes, and takeaway containers.
Location and Proximity Requirements
Due to food safety regulations, bidders’ kitchens must be located within 30 km of the Barn Theatre at the corner of Kani Road and Ntshona Street, Central, Gqeberha. Proof of address, such as a municipal account not older than three months or a certified lease agreement, is mandatory for validation.
Submission Guidelines and Conditions
Quotations must be VAT-inclusive, with prices covering delivery. Bidders must complete MBTC RFQ forms, SBD 4, and SBD 6.1, and adhere to the 80/20 preference point system. Quotations must remain valid for 90 days, and no prepayments will be made. Central Supplier Database (CSD) registration is compulsory.
Evaluation Criteria and Preference Points
Bids will be evaluated based on price and specific goals, including youth, women, and black ownership, as well as locality within Nelson Mandela Bay or the Eastern Cape. Compliance with all special conditions is critical; failure to adhere will result in immediate disqualification.
