Centurion, Gauteng – The Banking Sector Education and Training Authority (BANKSETA) has issued an open tender (BS/2026/RFB560) for the appointment of a panel of service providers to provide events management services for a period of four (4) years. This procurement aims to establish a panel of up to five event management agencies to deliver comprehensive event services nationally.

Project Scope and Service Requirements

The successful panel members will provide end-to-end event management services on an ad-hoc basis, including:

  • Venue sourcing, hiring, and management (with cancellation/postponement policies)
  • Catering services coordination
  • Management of conferences, information sessions, road shows, AGMs, board inductions, and stakeholder engagement forums
  • Technical aspects including design, sound, lighting, staging, and recording
  • Digital registration, name tags, and attendance registers
  • Photography and videography, including drone footage
  • Sponsorship management (if required)
  • Budget management and reconciliation
  • Pre-event, on-site, and post-event project management

Events range from 50 to 150 delegates, including hybrid events and graduation ceremonies.

Competency and Expertise Requirements

Bidders must meet strict requirements:

  • Demonstrated experience in public sector/entities with signed contactable reference letters (within 5 years)
  • List of at least five events managed with minimum 30 delegates
  • Dedicated Project Manager/Team Leader with NQF Level 7 qualification and minimum 5 years’ experience
  • Project Manager must be employee, director, or owner of the bidding company

Submission Details

Submissions require three envelopes: Envelope 1 (Original), Envelope 2 (Hard copy + USB), and Envelope 3 (Pricing and SBD1). Documents must be deposited in the submission box at BANKSETA Offices, Eco Origin Office Park, Block C2, 349 Witch-Hazel Avenue, Eco Park Estate, Highveld, Centurion, before 11:00 on Thursday, 22 October 2026. Faxed or emailed submissions will not be accepted.

Evaluation Criteria

The evaluation follows three phases:

  • Phase 1: Compliance/eligibility evaluation
  • Phase 2: Technical/functionality evaluation (minimum 75% threshold)
  • Phase 3: Price and BANKSETA preference points (80/20 system)

Functionality criteria include events management experience (35%), public sector experience (30%), and Project Manager qualification/experience (35%). Preference points allocation includes black ownership (7 points), women ownership (4 points), youth ownership (4 points), disability (2 points), and SMEs/co-operatives (3 points).
