The Office of the Premier in Limpopo Province has published an open tender for the establishment of a panel of service providers to support the planning and execution of provincial events. This is a 24-month opportunity for experienced event management companies with a proven track record in large-scale events.
Tender Overview and Key Dates
The tender, numbered 59/2025-26, was published on 10 July 2026, with bids closing on 4 August 2026 at 11:00. A compulsory briefing session will be held on 22 July 2026 at 11:00 at the Old Cabinet Boardroom, 40 Hans Van Rensburg Street, Polokwane. Scope of Work
The appointed service providers will support the hosting of provincial events of high magnitude and strategic importance, including National Calendar events and Presidential events. Services include:
- Frame tents and marquees with modular flooring or carpeting (capacities from 50 to 10,000)
- Stage and sound system installations
- Electrical installations
- VIP catering
- VIP toilets
- Comprehensive event coordination and logistics
Functionality Evaluation
Bidders must achieve a minimum of 75 out of 100 points for functionality. Criteria include:
- Existence of Physical and Operational Office in Limpopo Province (20 points)
- Bidder’s Experience (40 points): Projects accommodating 5,000 or more people within the past five years
- Key Personnel Experience (25 points): Staff qualifications and experience in event management
- Financial Capacity (15 points): Recent audited financial statements

Mandatory Pre-Qualification Documents
Failure to submit any of the following will result in disqualification:
- Original Bid Document – duly completed and signed
- SBD 1 – Invitation to Bid – duly completed and signed
- SBD 4 – Declaration of Interest – duly completed and signed
- CIPC Company Registration Certificate – valid certified copy
- Consortium or Joint Venture Agreement – if applicable, legally compliant and signed
- Bid Proposal on Soft Copy (Memory Stick)
Bids must be submitted in duplicate (one hard copy and one soft copy on a memory stick) in a technical file only. NO pricing must be included in the technical envelope.
