Tender Overview
This Request for Quotation (RFQ 83) seeks experienced caterers capable of delivering exceptional service for VIP guests and general attendees. The museum prioritises suppliers registered on the Central Supplier Database (CSD) with proven hospitality expertise.
Menu Specifications
Welcome Tea (20 guests) – 13:00
- Assorted fruit bowl, croissants with cheese & ham, bran muffin with jam & cream, plain scones
- Assorted coffees (Nescafé Gold, Jacobs, Douwe Egberts sachets), assorted teas, green tea, fresh milk, 100% fruit juice (no diluted juice)
Dinner (200 guests) – 17:00 (starter at 14:30)
- Roasted chicken, hake fish, beef stew
- Baby potatoes in parsley butter sauce, rice, samp with beans
- Melange of veggies, Greek salad, beetroot salad
- Assorted 100% juices, soft drinks, mineral drinks
Service requirements:
- Two serving stations for 200 guests; one VIP station with tablecloth
- Gold under plates, napkins, Collins glasses for VIP
- Bain-maries/hot trays, waiters for service and hygiene maintenance
- Food must be ready 90 minutes before serving time and served warm
VIP Catering Specifications
- Utensils (crockery, cutlery, tablecloths) must be clean and high quality
- Gold under plates, napkins, and Collins glasses required
- Table preparation and layout must be clean and high quality
- Bain-maries or hot trays for hot food in good, clean operational order
- Food delivered and served hot and on time with high, sufficient quality
- Waiters to serve food, maintain hygiene, and clean serving areas as instructed
Mandatory Returnable Documents
- Duly signed SBD 1, SBD 3.3 (Pricing Schedule), SBD 4, SBD 6.1, SBD 7.2, SBD 8, SBD 9
- SBD 2 (Tax Clearance Requirements)
- Proof of CSD registration
- Certificate of acceptability for food premises from the municipality (current facility)
- Minimum of three reference letters with appointment letters/purchase orders
- Specific goals verification documents (for preference points)
Health & Safety and Submission Details
- Catering must comply with Disaster Management Regulations and health/safety standards
- All utensils, crockery, cutlery, and tablecloths to be provided by the service provider
- No faxed or hand-delivered quotations – email only
- The museum reserves the right to amend, modify, or withdraw the RFQ without prior notice
Evaluation Criteria
Bids will be assessed using the 80/20 preference point system. Eighty points are allocated for price competitiveness, while 20 points reward specific goals including local Eastern Cape suppliers, women-owned enterprises, youth ownership, and SMME status.
