The Johannesburg Tourism Company (JTC), a division of the City of Johannesburg, invites qualified service providers to submit quotations for the storage, maintenance, setup, breakdown, cleaning, collection, and delivery of branding material for approximately 100 ad hoc tourism events and activations. This Request for Quotation (JTC:0025/2025-26) targets established event support providers capable of delivering reliable logistical services over a twelve-month contract period.

Service Requirements and Deliverables

The appointed service provider will manage JTC’s existing branding assets, including:

  • Secure storage facilities for gazebos, banner walls, 360 photobooths, teardrops, and pull-up banners
  • Routine maintenance, cleaning, and safe return of all materials in good condition
  • On-site setup and breakdown at conferences, lifestyle events, sports activations, and weekend markets
  • Deployment of two promotional personnel for selected business tourism event activations
  • Timely collection and delivery of branding materials to event venues across Johannesburg

Note: Bidders must not quote for the production of new branding material; JTC supplies all assets.

Eligibility and Submission Criteria

Bidders must demonstrate:

  • Valid registration on the National Treasury Central Supplier Database (CSD)
  • Proven experience in event logistics, branding support, or similar services
  • Completed Standard Bidding Documents and JTC pricing schedule
  • Valid tax compliance status and B-BBEE verification certificate or sworn affidavit
  • Proof of Johannesburg locality for preference point allocation

Pricing and Evaluation Framework

Quotations will be evaluated using the 80/20 preference point system:

  • 80 points allocated for price competitiveness (firm, VAT-inclusive pricing required)
  • 20 points allocated for specific goals: Johannesburg locality (5 points) and SMME/EME/QSE status (5 points)
  • Only firm prices will be accepted; no exchange rate variations permitted

Submission Guidelines Quotations must be deposited in the designated tender box at Sandton Library Offices by the closing deadline. Submissions must be sealed, clearly marked with tender reference JTC:0025/2025-26, and include all mandatory returnable documents. Late, emailed, faxed, or incomplete submissions will not be accepted.

JTC reserves the right to accept or reject any quotation and is not bound to appoint the lowest-priced bidder. Successful appointment is subject to verification of documentation, proof of adequate cash flow (no upfront payments), and execution of a formal purchase order. Quotations must remain valid for 30 days from the closing date.
