The National Research Foundation (NRF) has issued Request for Quotation NRF/RIISA SCM RFQ 128/2025-26 for the supply and delivery of high-performance laptops and monitor screens to support research infrastructure at its Brummeria Campus in Pretoria. This urgent procurement targets accredited IT equipment suppliers capable of delivering premium computing solutions for research and administrative operations.

Tender Overview and IT Equipment Scope

The RFQ seeks qualified service providers to supply and deliver:

  • Two (2) 14-inch high-performance laptops with specified configurations
  • Nine (9) 34-inch 4K monitor screens with HDMI cables
  • All associated accessories including docking stations, bags, and power adapters

Delivery must be made to the NRF Building, South Gate, CSIR Complex, Meiring Naudé Road, Brummeria, Pretoria, 0184.

Laptop and Monitor Technical Specifications

Bidders must quote for the following minimum specifications:

  • Laptop 1: Yoga 7i or equivalent 2-in-1 Gen 10 with Intel i9 processor, 1TB PCIe SSD Gen 4, 32GB LPDDR5X RAM, internal LTE, 3-year onsite warranty, plus docking station, backpack and extra power adapter
  • Laptop 2: Lenovo ThinkPad T14 or equivalent with Intel i7 processor, 1TB storage, 32GB RAM, backlit keyboard, internal LTE, 3-year onsite warranty, plus docking station, backpack and laptop bag
  • Monitors: Nine (9) 34-inch 4K screens with HDMI cables or equivalent specifications

Mandatory Compliance Documentation

Proposals will be disqualified without:

  • Fully completed and signed SBD 1, SBD 4 and SBD 6.1 forms
  • Valid Central Supplier Database (CSD) registration with MAAA number
  • Tax Compliance Status PIN or printed TCS certificate
  • Valid B-BBEE certificate or sworn affidavit for EME/QSE status
  • Two (2) contactable reference letters for similar IT equipment supply within the past three years

Evaluation and Preference Point System

Quotations will be assessed using a multi-stage process:

  • Stage 1: Administrative compliance verification
  • Stage 2: Technical specification compliance (minimum threshold applies)
  • Stage 3: Price and preference evaluation using the 80/20 preference point system
  • Stage 4: Tax compliance verification
  • Stage 5: Award recommendation and contract signing

Submission Guidelines and Deadlines

Quotations must be emailed to tender.enquiries@nrf.ac.za by 11:00 on Tuesday, 24 March 2026. Late submissions will not be considered. All prices must be quoted in South African Rand, inclusive of VAT and delivery costs, and remain firm for 90 days from closure. No briefing session will be conducted for this RFQ.
