SANAS Seeks Aircon Maintenance Provider for 3-Year Contract

The South African National Accreditation System (SANAS) has issued a Request for Proposal (RFP) under reference number SANAS/AIRCON/2025-26/12 for the appointment of a qualified service provider to deliver comprehensive servicing and maintenance of air conditioning units at its headquarters in Equestria, Pretoria. The contract will run for three (3) years and covers 111 split units and one central aircon plant, with bi-annual servicing and bi-monthly filter cleaning. Submissions must be hand-delivered in hard copy by 11:00 on Tuesday, 24 February 2026, to the SANAS offices.

A compulsory site inspection will be held on 10 February 2026 at 11:00 at the SANAS Offices in Libertas Office Park. Attendance is mandatory for all bidders.

Scope of Work: Comprehensive HVAC Maintenance and Ad Hoc Repairs

The successful service provider will deliver:

  • Bi-annual chemical cleaning of evaporator and condenser coils for all 111 units
  • Lubrication of moving parts, drain pan cleaning, and inspection of refrigerant levels
  • Bi-monthly filter cleaning across all units
  • Servicing of the central aircon plant in the basement
  • Ad hoc emergency repairs as required, with prior quotation approval
  • Reporting and documentation after each service visit

All work must comply with manufacturer specifications and occupational health and safety standards.

Mandatory Requirements and Documentation

Bidders must submit the following to be considered:

  • Valid registration on the Central Supplier Database (CSD)
  • SARS Tax Compliance PIN or clearance certificate
  • Affiliation with SARACCA (South African Refrigeration and Air Conditioning Contractors Association)
  • Three verifiable client references for similar HVAC maintenance contracts
  • Completed Standard Bidding Documents: SBD 1 (Declaration), SBD 3.3 (Pricing Schedule)
  • Proof of technical capacity, including certified refrigeration mechanics on staff

Joint ventures must ensure all partners meet these requirements.

Evaluation Criteria: Technical Competence and Compliance

Proposals will be scored on a 100-point scale:

  • Company Profile & Experience (25 points): Minimum 3 years in aircon maintenance
  • SARACCA Affiliation (35 points): Valid proof of membership
  • Technical Methodology (20 points): Clarity, safety protocols, and response time
  • Pricing Competitiveness (20 points): Transparent, VAT-inclusive rates for scheduled and ad hoc services

Only compliant, responsive, and fully documented submissions will be evaluated.
