    PRASA Metrorail Seeks Catering Provider in Western Cape

    The Passenger Rail Agency of South Africa (PRASA) has issued a Request for Quotation (PR10374572) for the appointment of a service provider to render regional catering services. This 12-month mini contract operates on an as-and-when-required basis to support official meetings, workshops, and corporate functions across PRASA’s Western Cape operations.

    Scope of Catering Services

    The successful service provider will be responsible for delivering high-quality, hygienic, and timely catering solutions. Key deliverables include:

    • Preparation and supply of diverse menu options suitable for corporate and operational events.
    • Provision of all necessary crockery, cutlery, and serving equipment.
    • Setup, servicing, and post-event cleanup at designated PRASA facilities within the Western Cape region.
    • Strict adherence to food safety, dietary requirements, and occupational health standards.

    Mandatory Documents Required

    Bidders must submit several mandatory documents, including:

    • Completed and signed SBD 1 (Invitation to Bid).
    • Completed and signed SBD 4 (Bidder’s Disclosure).
    • Completed and signed SBD 6.1 (Preference Points Claim Form).
    • Valid Health Certificate.
    • Valid Tax Compliance Status PIN from SARS.
    • CSD registration report.
    • Company registration documents (CIPC).
    • Certified ID copies of directors.
    • Letter of Good Standing from COIDA.
    • Valid B-BBEE Certificate or Sworn Affidavit.
    • Joint Venture or Consortium Agreement (if applicable).
    • Catering references or completion letters (minimum of five).
    • Proof of business address.
    • Bank statement or credit facility not more than 60 days old.
    • Completed pricing schedule.
    • All pages of the RFQ document must be completed and signed.

    Evaluation Criteria

    Quotations will be adjudicated using the 80/20 preferential procurement system. Eighty points are allocated for price competitiveness, while twenty points are awarded for specific goals, including B-BBEE status level contribution and enterprise development targets. Bidders must also demonstrate the operational capacity to meet PRASA’s strict turnaround times for catering orders.

    Submission Guidelines

    There will be no briefing session for this procurement. As per the special conditions, bidders must hand-deliver their completed quotation documents, along with all requested supporting documentation, to the specified address. The delivery point is located at 1 Adderley Street, Cape Town, 8000 (as detailed in Section 1 – SBD 1 page 2). The strict closing time is 11:00 on Wednesday, 14 October 2026. Late, faxed, or emailed submissions will not be accepted.
