Airports Company South Africa (ACSA) invites qualified event service providers to submit quotations for the provision of an innovation conference and exhibition at its Corporate Office. This Request for Quotation (RFQ 53439) targets experienced suppliers capable of delivering end-to-end event management solutions for high-profile corporate gatherings.
Event Specifications and Requirements
The two-day conference and exhibition is scheduled for 23-24 April 2026 at the ACSA Indaba International Conference Centre (AIICC), OR Tambo International Airport. Key deliverables include:
- Catering for 200 attendees per day (buffet breakfast and lunch, Halaal and Lactose Free options)
- Furniture and setup: panel seating (6 pax with lapel mics), conference classroom style, TED Talk style arrangements
- Production services: branded collateral, 50 crew t-shirts, 200 lanyards, 200 name tags, on-site printer
- Videography and photography coverage for the full two-day event
- Health and Safety compliance: assistance with Public Liability JOC application
Submission Guidelines and Format
Quotations must be emailed to acsarfq@airports.co.za by 12:00 on Friday, 10 April 2026. Bidders must:
- Break submissions into at least four attachments of 4MB each
- Use the exact subject heading as the invitation
- Submit only to the designated email address; submissions to other addresses will not be considered
Compulsory Briefing Session Details
Attendance at the pre-bid clarification meeting is mandatory. Bidders who fail to attend will be disqualified.

Evaluation and Compliance Criteria
Proposals will be evaluated using ACSA’s standard procurement framework, assessing administrative compliance, functionality, pricing competitiveness, and preference points under the Preferential Procurement Regulations. Bidders may be subject to security vetting as ACSA is a National Key Point.
