The Passenger Rail Agency of South Africa (PRASA) invites qualified service providers to bid for appointment to a panel for the supply and delivery of office furniture and appliances in the KwaZulu-Natal region. This 36-month contract operates on an as-and-when-required basis, addressing urgent operational needs across PRASA’s KZN network.
Tender Overview and Scope
This Request for Proposal (RFP) seeks to establish a panel of pre-qualified suppliers capable of delivering desks, chairs, filing cabinets, lockers, microwaves, fridges, stoves, and other office essentials. The contract covers 106 sites, including Durban Station, Pietermaritzburg, and various depots. The panel appointment runs for three years, with individual task orders issued through a Request for Quotation process.
Mandatory Requirements
Bidders must submit the following documents to avoid disqualification:
- Completed and signed RFP documentation, declarations, and Standard Bidding Documents
- Valid Tax Status Certificate with SARS-issued PIN
- CSD registration report or reference number
- Joint Venture or Consortium agreement (if applicable)
- Proof of compulsory briefing session attendance
- Certified B-BBEE certificate or affidavit
- Cashflow statements signed by an accountant
Technical Evaluation
The evaluation follows a structured process. Bidders must score a minimum of 70% on functionality to proceed. Scoring criteria include:
- Bidder’s experience: 60 points for supplying furniture or appliances
- Financial capability: 40 points for liquid cash exceeding R50,000
Only projects with complete appointment letters, purchase orders, and corresponding reference letters will be considered.
Pricing and Preference Points
The 80/20 preference point system applies. Price carries 80 points, while specific goals account for 20 points. Preference points are awarded for black women ownership (10 points), black youth ownership (5 points), and B-BBEE contributor status of at least Level 2 (5 points).
Compulsory Briefing Session
A mandatory briefing session will be held on Thursday, 08 October 2026, at 10:00 at PRASA Rail KZN, 65 Masabalala Yengwa Avenue, Greyville, Durban Station (Roof Level Entrance). Failure to attend will result in disqualification.
