ACSA Invites Bids for Audio-Visual Conferencing Equipment

Kempton Park, Gauteng – Airports Company South Africa (ACSA) has issued an open tender (COR8110/2026/RFP) for the supply, installation, decommissioning, and disposal of audio and video conferencing equipment across its national airport network. This 24-month contract covers the O.R. Tambo International Airport Media Centre, Emergency Command Centre, and 39 boardrooms across nine airports.

Project Scope and Requirements

The successful bidder will deliver a comprehensive AV solution including:

  • Supply, installation, configuration, and commissioning of video conferencing systems
  • Decommissioning and disposal of legacy equipment
  • Asset management, tagging, and tracking
  • Training and knowledge transfer to ACSA staff
  • Handover to incumbent maintenance provider

The scope covers display systems, audio reinforcement, wireless presentation, room panels, and full Microsoft Teams integration.

Eligibility and Mandatory Requirements

Bidders must meet strict mandatory criteria or face disqualification:

  • Verifiable OEM certificate or letter confirming accredited partner/reseller status
  • Completed Pricing Schedule (Annexure B)
  • Attendance at compulsory briefing session and site inspection
  • Completed Technical Specification Sheet (Annexure A) with full compliance confirmation

Compulsory Briefing and Site Inspection

A compulsory briefing session will be held on Tuesday, 6 October 2026 at 10:00 at the O.R. Tambo International Airport Media Room, Ground Floor of Domestic Terminal B. Submission Details

Bids must be delivered to Tender Box B, Airports Company South Africa Offices, North Wing, 3rd Floor, OR Tambo International Airport, before 12:00 on Monday, 2 November 2026. Submissions require one original printed copy, one printed copy, and an electronic copy on flash drive. Late bids will not be accepted.

Evaluation Criteria

The 80/20 preference point system applies. Stage 1 mandatory requirements must be met before progression. Stage 2 functionality evaluation carries 100 points, with a minimum threshold of 75 points required. Points are allocated for company experience (55 points) and resource experience (45 points). Price and preference evaluation follows for qualifying bidders.

Specific goals include B-BBEE status levels, black youth majority-owned entities, black women majority-owned entities, and companies owned by people with disabilities.

Personnel and Insurance Requirements

Bidders must provide a Project Manager with PMBOK/PRINCE2 certification and two years’ AV project management experience, plus an AV Solutions Architect with vendor-specific certification. Insurance requirements must be met prior to contract signing.
