The Limpopo Department of Sport, Arts and Culture invites service providers to bid for a three-year contract to provide comprehensive travel and accommodation services. This tender, DSAC2026/27-B3, seeks to establish a panel of providers for accommodation, flight bookings, car rental, shuttle services, and super luxury coaches to support the department’s operations across the province.

Scope of Services

The appointed service providers will deliver travel-related services to the department as and when required. The contract covers:

  • Domestic accommodation bookings
  • Flight reservations
  • Car rental services
  • Shuttle services
  • Super luxury coach hire

This “as and when required” basis allows the department to utilize the panel flexibly and efficiently.

Tender Validity and Pricing

Bidders must submit firm prices, as non-firm prices, including those subject to rate of exchange variations, will not be considered. The offer is to be valid for 120 days from the closing date. Bidders are required to provide pricing for each of the five Limpopo districts: Capricorn, Sekhukhune, Waterberg, Mopani, and Vhembe.

Mandatory Requirements

Bidders must submit the following documentation with their proposals:

  • Completed and signed SBD forms (SBD 1, SBD 3.1, SBD 4, SBD 6.1)
  • Tax Compliance Status PIN or CSD number
  • Company registration documents
  • B-BBEE status level verification certificate or sworn affidavit
  • Pricing schedules for all districts (Capricorn, Sekhukhune, Waterberg, Mopani, Vhembe)
  • CSD registration report
  • Proof of compliance with maximum allowable rates for meals and accommodation

Compliance with Cost-Containment Directives

Bidders must ensure their proposed rates comply with maximum allowable rates set by the Limpopo Provincial Treasury for meals and accommodation 250.00 . Accommodation rates are capped based on the establishment’s star grading and service band .

Evaluation and Preference Points

The tender will be evaluated using the 80/20 or 90/10 preference point system. Specific goals, such as ownership by black people, women, youth, people with disabilities, military veterans, or rural/township businesses, will be awarded points. These must be verified through CSD reports and relevant documentation.
