The Passenger Rail Agency of South Africa (PRASA) has issued a Request for Quotation (ECR/HCM/03/05/2025) for the appointment of a service provider to supply and deliver promotional items for its Eastern Cape region. This 36-month, as-and-when-required contract presents a lucrative opportunity for branding and promotional material suppliers to support PRASA’s corporate communication and stakeholder engagement initiatives across the province.
Scope of Supply and Contract Duration
The successful bidder will be responsible for the on-demand supply and delivery of various promotional items to the PRASA Eastern Cape regional office in East London. The contract spans 36 months, ensuring a steady stream of orders for the appointed supplier while supporting the rail agency’s brand visibility and internal staff engagement programs.
Required Items
The successful bidder will be responsible for supplying a wide range of branded promotional items, including:
- Branded lanyards (500 units) and ceramic mugs with PRASA logo (500 units)
- Herbal tea sachets (300 boxes), lip balm (500 units), and energy bars (500 boxes)
- 100% pure petroleum jelly (500 units) and branded skipping ropes (15 units)
- Branded information leaflets and wellness contact cards
- Disinfectant pocket wipes and alcohol surface disinfectant spray
- Branded yoga mats (30 units), resistance stretch bands, and stress reliever balls
- Foam balls, compartment pill organizers, and stainless steel double flask mugs
- Drawstring bags, bandanas, essential oil diffusers, and portable label makers (2 units)
All items must be branded with PRASA’s logo and meet the specified technical requirements.
Mandatory Compliance and Evaluation
Bidders must adhere to PRASA’s strict procurement regulations to be considered responsive. Mandatory requirements include:
- Valid Central Supplier Database (CSD) registration
- A valid SARS Tax Clearance Certificate or PIN
- Completion of all required Standard Bidding Documents (SBD forms)
- Firm pricing in South African Rand, inclusive of all applicable taxes

Quotations must be submitted in a sealed envelope clearly marked with the RFQ number and addressed to PRASA before the stipulated closing time. Late or incomplete submissions will be strictly disqualified.
