The college requires an independent, immutable cloud backup solution to safeguard approximately 400 staff and 7,000 student Microsoft 365 licenses across two domains. This procurement supports institutional data sovereignty, POPIA compliance, and business continuity objectives within the Western Cape’s Further Education and Training sector.
Scope of Services Required
Successful bidders must deliver:
- Secure backup of Exchange Online, SharePoint, OneDrive for Business, and Microsoft Teams data
- Minimum initial storage capacity of 30TB with scalable expansion options
- Rapid disaster recovery capabilities with defined RTO and RPO targets
- Granular and bulk restore functionality for efficient data retrieval
- Comprehensive documentation, staff training, and ongoing technical support

- Valid SARS Tax Compliance PIN or certificate
- CSD registration number
- CIPC company registration documents (with member/shareholder percentages)
- Share certificates (for companies) or shareholding breakdown per race/gender
- Latest municipal account or lease agreement
- B-BBEE certificate (SANAS accredited) or sworn affidavit
- Completed SBD forms (SBD 1, SBD 4, SBD 6.1, SBD 8, SBD 9)
- Completed price schedule with detailed breakdown

Proposals undergo a two-stage assessment: functionality scoring (minimum 70/100 threshold) evaluates company experience (40 points), key personnel qualifications (30 points), and client references (30 points).
