The Agricultural Research Council (ARC) has issued Request for Quotation API01REQ006439 for the supply of catering services for Farmer’s Day celebrations at Aurora Village. This urgent procurement targets qualified food service providers capable of delivering quality meals for 100 attendees on short notice.
Tender Overview and Service Scope
The ARC seeks a reliable catering partner to provide a complete meal service for the Farmer’s Day event scheduled for 19 March 2026 at Aurora Village, Polokwane. The appointed service provider will be responsible for food preparation, on-site service, and post-event cleanup in compliance with food safety regulations.
Menu Specifications and Delivery Requirements
Bidders must quote for the following menu items serving 100 guests:
- Traditional pap with meat stew
- Rice portion
- Chicken drumsticks
- Beef portion
- Fresh salad and vegetable sides
- Still water (500ml bottles) x 100
- Assorted soft drinks x 100
All food must be prepared in hygienic conditions and delivered hot to the event venue.
Mandatory Compliance Documentation
Proposals will be disqualified without:
- Valid Certificate of Acceptability (COA) issued by local health authority
- Active Central Supplier Database (CSD) registration with full report
- Completed and signed SBD forms (SBD1, SBD4, SBD6.1)
- Proof of tax compliance or SARS PIN
- Company registration documents (CIPC)
Evaluation and Preference Point System
Quotations will be assessed using the 80/20 preference point system:
- 80 points allocated for price competitiveness
- 20 points for specific goals including:
- HDI ownership 51%+ (6 points)
- Women ownership 51%+ (4 points)
- Youth ownership 51%+ (4 points)
- PwD ownership 51%+ (2 points)
- B-BBEE Status Level 1-4 (2 points)
- SMME promotion (2 points)
Submission Guidelines and Deadlines
Quotations must be emailed to MahlaelaM@arc.agric.za by 09:00 on Wednesday, 18 March 2026. Late submissions will not be considered. Prices must be quoted in South African Rand, inclusive of VAT and all delivery costs. Quotations must remain valid for the period indicated by the bidder.
