The Time of the Writer Festival is a prestigious national literary event that brings authors, poets, scholars, and readers together for dialogue and reflection. The outreach session at the Luthuli Museum will host approximately 60 attendees, including writers, educators, and community members. The catering service must reflect professionalism, cultural sensitivity, and adherence to food safety standards.
Scope of Catering Services
The successful service provider will deliver:
- Sandwiches:
- 30 x Chicken and Mayo
- 15 x Cheese and Tomato
- 15 x Egg and Mayo
- Platters:
- 2 x Chicken & Rib Platter
- 3 x Chicken Platter
- 1 x Vegetable Platter
- 3 x Sandwich Platter
- Beverages & Consumables:
- 40 x 300ml canned mineral water
- 40 x assorted soft drinks
- 40 x 100% fruit juice cans
- 2 packs paper plates (50 per pack)
- 2 packs serviettes (50 per pack)
All food must be Halaal-certified, freshly prepared, and served in a hygienic, professional manner suitable for a public cultural event.
Mandatory Submission Requirements
To be considered, quotations must include:
- A formal quote on company letterhead with firm, VAT-inclusive pricing
- Valid SARS Tax Compliance PIN or clearance certificate
- Proof of registration on the Central Supplier Database (CSD)
- B-BBEE Certificate or sworn affidavit (Level 1–8 or EME/QSE)
- Completed Standard Bidding Document 4 (SBD 4 – Declaration of Interest)
- Confirmation that all food will be Halaal-compliant
Quotations must be submitted exclusively via email—no hard copies, faxes, or postal submissions will be accepted.
Evaluation Criteria: 80/20 Preferential Procurement System
Quotations will be scored using the 80/20 system:
- 80 points: Price (lowest compliant quote = 80; others scored proportionally)
- 20 points: Specific Goals, including Black, women, youth, disability, and military veteran ownership
Only complete, responsive, and compliant submissions will be evaluated.
