Iziko Museums of Cape Town has issued a Request for Quotation (RFQ) for the supply and delivery of catering and catering equipment for upcoming exhibition openings. This strategic procurement aims to provide high-quality, professional catering services that enhance the guest experience during these prestigious cultural events in the Western Cape.

Scope of Work

The appointed service provider(s) will be responsible for the supply of catering services, setup, and dismantling of all required catering equipment across three distinct events.

Event 1: Arab Priest and African Modernism Exhibition Opening

  • Date: 23 September 2026, Time: 17:00 – 22:00, Attendance: 250 Guests
  • Service Style: Premium passed canapés and attended food stations
  • Welcome Beverages: Tizzers, fresh fruit juices, bottled water
  • Canapés: Mini Gourmet Boerewors Brioche Rolls, Cape Malay Spiced Chicken Wraps, Smoked Salmon Blinis, Artisan Mini Vetkoek Selection, Handcrafted Savoury Pastries, Cape Malay Samosa Selection
  • Equipment: Heavy-duty generator required
  • Staff: 4 professional catering staff members
  • Presentation: Decorative Middle Eastern inspired serving elements, mini wooden boards, ceramic platters, elegant cocktail napkins, chafing dishes for hot items

Event 2: Amanzi e Afrika Exhibition Opening

  • Date: 29 October 2026, Time: 17:00 – 22:00, Attendance: 250 Guests
  • Service Style: Grab-and-go festival packaging with quick-service points
  • Refreshments: Fruit juices, flavoured water stations, tea and coffee station
  • Main Menu: Gourmet boerewors rolls, Chicken and vegetable wraps, Mini vetkoek with curried mince, chicken mayo, and vegetarian fillings, Savoury pastries, Traditional Cape Malay samosas
  • Sides: Potato salad, Coleslaw, Green salad, Fresh bread rolls
  • Sweet Treats: Koeksisters, Hertzoggies, Mini cupcakes, Fresh fruit cups
  • Staff: 4 professional catering staff members

Event 3: MTN and UJ Exhibition Opening

  • Date: 14 November 2026, Time: 17:00 – 22:00, Attendance: 200 Guests
  • Service Style: Premium passed canapés and attended food stations
  • Welcome Beverages: Tizzers, fresh fruit juices, bottled water
  • Canapés: Mini Gourmet Boerewors Brioche Rolls, Cape Malay Spiced Chicken Wraps, Smoked Salmon Blinis, Artisan Mini Vetkoek Selection, Handcrafted Savoury Pastries, Cape Malay Samosa Selection
  • Presentation: Decorative Middle Eastern inspired serving elements, mini wooden boards, ceramic platters, elegant cocktail napkins, chafing dishes for hot items
  • Staff: 4 professional catering staff members

Mandatory Documentation Required

Bidders must submit the following documents with their quotations:

  • Central Supplier Database report with supplier number, company details, and tax status verification pin
  • Detailed pricing structure on company letterhead, inclusive of VAT, disbursements, and escalations if applicable
  • Valid B-BBEE certificate or sworn affidavit
  • Signed RFQ document
  • Valid tax certificate and/or tax pin
  • Completed SBD 4 and SBD 6.1 forms
  • Breakdown of assumptions, resource categories, and rates used to prepare pricing
  • Proof of company registration and identification documentation

Any alteration to the RFQ document other than completing bidder details and tendered price may render the submission non-responsive. False declarations will lead to disqualification.

Evaluation Criteria

Proposals will be evaluated using the applicable 80/20 preference point system as per the Preferential Procurement Regulations, 2022.

  • Price: 80 points
  • Specific Goals (B-BBEE): 20 points
  • Total: 100 points

Specific Goals Points Allocation:

  • 50% or more black ownership: 20 points
  • Less than 50% black ownership: 10 points
  • 0% black ownership: 0 points

Evaluation Process:

  • Mandatory compliance check
  • Minimum functionality threshold assessment
  • Price and specific goals evaluation

Only bidders that pass mandatory compliance and achieve the minimum functionality threshold will proceed to evaluation. The lowest or only quotation received will not necessarily be accepted. Iziko reserves the right to accept or reject any quotation and to withdraw the RFQ at any time before award. The proposal and appended documentation may form the basis of a formal contract to be negotiated and concluded.

No briefing session is scheduled. Bidders must ensure all documents are complete and signed. A mere offer and acceptance shall not constitute a formal contract until the appropriate written agreement or project charter has been concluded.
