The Inkosi Langalibalele Local Municipality has issued an open tender (ILM 07/26/27) to appoint a panel of service providers for events coordination and fundraising. This strategic 36-month contract targets experienced event management firms to support the municipality’s community and administrative initiatives across KwaZulu-Natal.

Scope of Works and Event Management

Panel members will be responsible for the coordination of events and fundraising for municipal events on an as-and-when-required basis . Events will be held at diverse venues, ranging from formal conferencing facilities to rural areas with little or no infrastructure .

The events are divided into six categories based on attendance:

  • Category A: Small events (50 or fewer people attending)
  • Category B: Small events (51 to 200 people attending)
  • Category C: Medium events (201 to 500 people attending)
  • Category D: Large events (501 to 1000 people attending)
  • Category E: Large events (1001 to 2500 people attending)
  • Category F: Large events (more than 2500 people attending)

Key Responsibilities

Service providers appointed to the panel will be expected to:

  • Manage and coordinate events from planning to execution
  • Source funding and manage fundraising activities
  • Report all sourced funds to the municipality in writing prior to use for any event
  • Submit a programme of confirmed activities within 31 days after award, and monthly progress reports
  • Outsource certain event activities to SMME service providers, with a focus on local businesses, youth, and women
  • Comply with all municipal policies and the Service Level Agreement

Submission Requirements

Bidders must submit a comprehensive company profile accompanied by:

  • CSD (Central Supplier Database) Report
  • CIPC Documents
  • Certified Identity Documents of all Directors
  • Valid Tax Clearance Certificate/PIN from SARS
  • Latest Letter of Good Standing from the Bank (not older than 3 months)
  • Rates and Taxes Statement, or valid Lease Agreement

Strict Physical Submission Protocols

Sealed bid documents must be hand-delivered to the official tender box. Emailed, faxed, or late submissions will be summarily disqualified. All bids must remain valid and irrevocable for a period of 120 days from the closing date.
