The Department of Forestry, Fisheries and the Environment (DFFE) has published a Request for Quotation for the supply and delivery of catering services for the Minister’s Induction, scheduled for 9-10 July 2026. This event will bring together DFFE managers and public entities at the Department’s headquarters in Pretoria. The Department is seeking a qualified catering service provider to deliver comprehensive catering for approximately 30-35 delegates over the two-day event. Scope of Work

The appointed service provider will cater for the Minister’s Induction event over two days.

Event requirements include:

  • Day 1 (9 July 2026): Breakfast for 30 delegates, mixed fruit kebabs for 33, Halal breakfast for 3, lunch for 30, Halal lunch for 3, and beverages (soft drinks, fruit juice, bottled water).
  • Day 2 (10 July 2026): Breakfast for 31 delegates, mixed fruit kebabs for 35, Halal breakfast for 4, lunch for 31, Halal lunch for 4, and beverages (soft drinks, fruit juice, bottled water).

Service standards:

  • Tea, coffee, and sugar must be served in individual sealed sachets.
  • Bottled water must comply with SANBWA standards.
  • Appropriate staff must be provided for safe and hygienic production, transport, and serving of meals.
  • Staff must wear uniforms and PPE (disposable gloves, hair nets, closed shoes, aprons).
  • Meals must be transported in vehicles with canopies (not open vans).
  • Dedicated bins must be used, and waste must be removed from the facility after service.

Evaluation Criteria

The RFQ will be evaluated using the 80/20 Preference Point System.

  • Price (80 Points)
  • Specific Goals (20 Points): 20 points awarded if the bidder has more than 50% ownership by Black People, Women, or People with Disabilities; 0 points if 50% or below.

To claim preference points, bidders must submit:

  • Completed and signed SBD 6.1 form.
  • Medical Certificate for disability claims.
  • SANAS/CIPC Accredited B-BBEE certificate or sworn affidavit.
  • Ownership Certificate issued by CIPC.

Mandatory Documents

Bidders must submit the following documents with their quotation. Non-submission of the Food Premises Certificate will lead to disqualification.

Required Documents:

  • Formal quotation on official company letterhead (including VAT per item, CSD MAAA number, and banking details)
  • Valid Food Premises Certificate (in the name of the bidding company) issued by the Municipality
  • Completed and signed SBD1 (Invitation to Bid)
  • Completed and signed SBD4 (Bidder’s Disclosure)
  • Completed and signed SBD6.1 (Preference Points Claim Form)
  • CSD Report (proof of registration on Central Supplier Database)
  • Valid SARS Tax PIN Certificate
