The Western Cape Department of Economic Development and Tourism (DEDAT) invites catering service providers to apply for inclusion on its expanded panel for a period of three years. The panel will be used to source catering services as and when required for departmental events, meetings, and official functions.
Tender Overview
The primary objective of this tender is to expand the existing panel of catering service providers. Successful bidders will be appointed to a panel for a duration of three years, enabling the department to efficiently procure high-quality catering services for various departmental functions, events, and official engagements. This panel approach ensures that the department has access to a diverse pool of vetted, reliable, and high-quality catering professionals.
Scope of Catering Services
Appointed providers must be able to:
- Cater for staff meetings, executive committee meetings, high‑profile meetings, and special functions
- Accommodate dietary preferences: vegetarian, kosher, and halal (with valid certification)
- Deliver and set up food at designated venues at least 30 minutes before scheduled commencement
- Supply required catering equipment (serving tables, tablecloths, cutlery, crockery, braai equipment)
- Provide professional presentation (waiters in uniform) and clean up after events
- Service delivery: standard requests within 48 hours; urgent requests within 24
Mandatory Compliance Criteria
Bidders must ensure strict compliance with the tender conditions, including the submission of all mandatory returnable documents such as the SBD forms, valid Tax Clearance Certificates, CSD registration, and valid B-BBEE certificates or sworn affidavits.
Electronic Submission Process
Notably, all bid responses must be submitted electronically via the National Treasury eTender portal. Physical submissions deposited in tender boxes will not be considered for this specific tender. Bidders are strongly advised to register and submit their bids well in advance of the deadline to avoid technical delays.
