This procurement supports the museum’s strategic goal of enhancing its public profile through high-quality visual content for its Annual Report and institutional communications.

Overview of the Nelson Mandela Museum Photography RFQ

Published on 25 February 2026, this RFQ invites accredited photography service providers registered on the Central Supplier Database (CSD) to capture professional images of NMM personnel. The successful service provider will be responsible for photographing 27 staff members at the Bhunga Building, 5 at O.R. Tambo Garden of Remembrance, and 5 at Ingquza Hill Museum, including individual portraits, departmental group shots, and a full-staff group photo at each location.

The museum emphasizes professionalism, artistic quality, and adherence to its brand identity. All final deliverables must be submitted on a USB drive, and while the service provider may credit their work, ownership of all photographs remains with the Nelson Mandela Museum.

Scope of Work: Professional Staff Photography Requirements

The appointed photographer will conduct a 2-hour photoshoot at each of the three museum sites on dates to be confirmed post-award. The scope includes:

  • Individual portraits (indoor and outdoor settings)
  • Departmental group photos
  • One comprehensive group photo of all staff per site
  • Creative direction and technical execution using appropriate lighting, composition, and post-processing techniques
  • Selection and delivery of the best images in high-resolution digital format

The service provider is expected to collaborate closely with museum management, offer creative input, and ensure that all images reflect the dignity and mission of the Nelson Mandela legacy.

Mandatory Documentation and Returnable Forms

To be considered responsive, bidders must include the following documents with their quotation:

  • Duly signed and completed SBD 1 (Invitation to Bid)
  • SBD 2 (Tax Clearance Requirements)
  • SBD 3.3 (Pricing Schedule)
  • SBD 4 (Declaration of Interest)
  • SBD 6.1 (Preference Points Claim Form)
  • Proof of CSD registration
  • Valid B-BBEE certificate or sworn affidavit
  • Previous appointment letters and samples of professional photography work

Incomplete, unsigned, or non-compliant submissions will be disqualified.

Evaluation Criteria and Preference Point Allocation

This RFQ will be evaluated under the 80/20 Preferential Procurement System:

  • 80 points for competitively priced, compliant offers
  • 20 points for specific empowerment goals, allocated as follows:
    • 10 points: 100% Black-owned firms
    • 5 points: 100% Women-owned firms
    • 3 points: Youth-owned enterprises
    • 2 points: Businesses owned by persons with disabilities

Bidders must attach verifiable proof (certified ID copies, B-BBEE affidavits, CSD reports) to claim preference points. Failure to provide supporting documentation will result in zero allocation for those categories.
