The Agricultural Research Council (ARC) has issued a Request for Quotation (RFQ) under reference number ISC01REQ002895 for the provision of professional catering services during a two-day agricultural engagement event in Mamaila Village, near Magoebaskloof, Limpopo, on 11–12 February 2026. The event will host approximately 60 attendees, including farmers, researchers, and extension officers. Submissions must be emailed by 09:00 on Monday, 9 February 2026, to MtungwaF@arc.agric.za.

This is a short-term, high-impact opportunity for experienced caterers to support rural agricultural development in a remote but strategically important farming community.

Event Overview: Supporting Smallholder Farmers in Limpopo

The event forms part of ARC’s outreach programme to promote climate-smart practices, improved crop varieties, and sustainable land management among smallholder producers in the Magoebaskloof region. Reliable, nutritious catering is essential to ensure participant engagement, energy, and focus across both days of field demonstrations and technical sessions.

Scope of Catering Services

The successful service provider will deliver:

  • Day 1 (11 February):
    • Light breakfast at 10:00: Tea, coffee, assorted sandwiches, muffins, and 500ml bottled water
    • Lunch at 13:00: Pap, rice, stewed beef, grilled chicken, potato salad, coleslaw, chakalaka, gravy, and 330ml soft drinks/fruit juice
  • Day 2 (12 February):
    • Identical menu and service times as Day 1

All meals must be freshly prepared, culturally appropriate, and served in a hygienic, professional manner suitable for an outdoor agricultural setting.

Mandatory Submission Requirements

To be considered, quotations must include:

  • A completed pricing schedule with unit costs, VAT (15%), and total amount
  • Valid SARS Tax Compliance PIN or clearance certificate
  • Proof of registration on the Central Supplier Database (CSD)
  • B-BBEE Certificate or sworn affidavit (Level 1–8 or EME/QSE)
  • Completed Standard Bidding Document 4 (SBD 4 – Declaration of Interest)
  • Bank confirmation letter and proof of experience in similar events

Quotations must be submitted exclusively via email—no hard copies, faxes, or postal submissions will be accepted.

Evaluation Criteria: 80/20 Preferential Procurement System

Quotations will be scored using the 80/20 system:

  • 80 points: Price (lowest compliant quote = 80; others scored proportionally)
  • 20 points: Specific Goals, including Black, women, youth, disability, and military veteran ownership

Only complete, responsive, and compliant submissions will be evaluated.
