Tender Overview and Procurement Objective

As a national public transport entity, PRASA requires reliable, high-quality audio devices for meetings, training sessions, remote collaboration, and public address enhancements. Scope of Supply: Items and Technical Requirements

The Bill of Quantities (BOQ) specifies the following items for delivery:

  • 20 x Wireless Headsets – for use in virtual meetings and call centre functions
  • 20 x Conference Audio Speakers – for group conferencing in meeting rooms
  • 4 x Bluetooth Speakers – portable, rechargeable units for events and presentations

All items must be new, unused, and covered by a valid manufacturer warranty. Quoted prices must be firm, inclusive of VAT, delivery, and installation, and valid for 90 days from the closing date.

Mandatory Documentation and Submission Rules

To be considered responsive, bidders must submit the following:

  • A detailed quotation on official company letterhead
  • Valid SARS Tax Compliance Status (TCS) PIN
  • Proof of registration on the Central Supplier Database (CSD)
  • Completed SBD 4 (Declaration of Interest)
  • B-BBEE certificate or sworn affidavit (for EMEs/QSEs)
  • Technical compliance statement confirming products meet PRASA specifications

Quotations must be sealed in an envelope, clearly marked with “RFQ 10366107 – Headsets and Bluetooth Speakers”, and hand-delivered to:

Late, emailed, faxed, or couriered submissions will not be accepted.

Evaluation Criteria and Preference Point Allocation

The RFQ will be evaluated under the 80/20 Preferential Procurement System:

  • 80 points for price competitiveness (lowest compliant quote receives full points)
  • 20 points for specific empowerment goals, including Black, women, youth, and disability ownership

All preference claims must be substantiated with certified documentation. PRASA reserves the right to award to the highest-scoring bidder or, if necessary, proceed to the next ranked bidder.
