Comprehensive Scope of Supply
The tender covers four distinct clusters of office furniture, with up to four service providers appointed, one per cluster . Facilities are located across all five districts of the province: Capricorn, Sekhukhune, Waterberg, Mopani, and Vhembe . Key deliverables include:
- Executive and General Office Furniture: Desks, credenzas, workstations, filing cabinets, and storage units
- Boardroom and Conference Furniture: Oval, rectangular, and hexagonal tables in various sizes (6 to 48 seaters)
- Seating Solutions: High-back and mid-back executive chairs, visitor chairs, lounge sofas, and fabric-covered couches
- Specialised Items: Television stands, coffee tables, letter trays, wooden dust bins, and coat hangers
All items must be manufactured in Mahogany, Oak, or Cherry veneer or melamine finishes, as specified for each cluster.
Quality and Warranty Requirements
Products must comply with South African Bureau of Standards (SABS) regulations and be free from manufacturing defects . All furniture must be guaranteed for a minimum of twelve months from date of acceptance. Bidders must submit samples for departmental approval before delivery.
Evaluation Process and Functional Criteria
The bid will be evaluated in four phases: Administrative Compliance, Functionality Evaluation, Site Inspection, and Price with specific goals (80/20 system) . Bidders must achieve a minimum functionality score of 60 points to proceed . Key functional requirements include:
- Relevant Experience: Proven track record in furniture supply with verifiable references (30% weighting)
- Financial Capacity: Valid proof of credit facility or overdraft of R5 million or more (30% weighting)
- Track Record: Evidence of successful projects valued at R5 million or more (40% weighting)

Submission Requirements
Bidders must submit a completed SBD 1, SBD 3.1, SBD 4, and SBD 6.1 forms, along with a company profile and proof of transport availability (minimum one insulated closed dust-proof vehicle). Letter of commitment from principal suppliers is required if not an independent manufacturer.
