The South African Post Office (SAPO) has issued a Request for Proposal (RFP 26-27-12/DP) for the provision of guarding services across its Northern Cape Province operations. This 12-month contract targets PSIRA-registered security firms to safeguard SAPO’s mail centres, branches, and critical infrastructure in the region.
Scope of Works and Regional Coverage
The appointed service provider will provide Grade C or B, PSIRA registered and accredited armed and unarmed guarding services across SAPO facilities in the Northern Cape . The contract will run on a month-to-month basis, not exceeding 12 months.
Key responsibilities include:
- Access control and physical security to safeguard SAPO assets, employees, and customers
- 12-hour shifts from 06:00 to 18:00 and/or 18:00 to 06:00, including weekends and public holidays
- Regular patrols using an electronic guard monitoring system with predefined patrol points and routes
- Incident reporting within 24 hours of occurrence
- Maintaining Occurrence Books at every service point
Mandatory Experience and Compliance
Bidders must confirm a minimum of one year of completed experience in supplying guarding services within the past two years. Proposals will be evaluated on administrative compliance, functionality, and price. Strict adherence to the Private Security Industry Regulatory Authority (PSIRA) standards is non-negotiable.
Mandatory Requirements
Bidders must meet the following strict eligibility criteria:
- PSIRA registration for at least one year prior to bid closing with a valid membership certificate and Statement of Good Standing
- Operational Branch with a Secure Firearm Vault (Armoury) and dedicated Secure Control Room within the Northern Cape Province
- Firearm Competency Certificate for the designated Armoury Manager
- Firearm Handling Procedure and Firearms Inventory Register
- Minimum one year completed experience in guarding services in the past two years
- CSD registration and tax compliance
Compulsory Virtual Briefing Session
Attendance at the mandatory pre-bid clarification meeting is strictly enforced. Bidders who fail to attend will be automatically disqualified.

Physical Submission Protocols
In alignment with SAPO’s secure procurement policies, emailed or faxed bids will not be accepted. All completed bid proposals must be hand-delivered in sealed envelopes to the designated Supply Chain Management office.
