Polokwane Municipality has issued a Request for Quotation (PM45-25/26) for the appointment of three service providers to render hospitality services at the Peter Mokaba Stadium Complex. This strategic three-year contract targets experienced hospitality and event management firms to elevate the match-day and event experience for fans and visitors in Limpopo.

Scope of Works and Venue

The appointed service providers will be utilized on a rotational basis to deliver hospitality services at the Peter Mokaba Stadium Complex as and when needs arise. The scope includes:

  • Catering Services: Provision of a variety of menu options including dry snacks, finger lunches, buffet (one course), Halal, vegetarian, desserts, and starters.
  • Beverage Services: Supply of beers, ciders, wines, spirits (whiskey, gin, cognac), mixers, water, and cold drinks/juices.
  • Staffing: Provision of hostesses and accreditation personnel.
  • Equipment and Utensils: Full responsibility for all catering equipment and utensils.
  • Furniture and Décor: Supply of 1-to-2-seater couches, cocktail chairs, cocktail tables, coffee tables, rugs, ornaments, fairy lights, and draping when required.
  • Compliance: Maintaining a safe environment in compliance with OHSA regulations, wearing distinctive Personal Protective Clothing (PPC), and providing an approved OHS plan.
  • Licensing: The service provider and premises must be licensed and accredited with Community Health Services, with a certified Certificate of Acceptability (COA) to be submitted with the bid.

The capacity to cater for between 20 and 500 people per event is required.

By appointing three distinct service providers, the municipality aims to foster healthy competition, ensure service redundancy, and create multiple revenue streams for local enterprises. This panel structure provides a lucrative, long-term pipeline of work for capable hospitality businesses.

  • Declaration of Interest (MBD4)
  • Declaration for Procurement Above R10 Million (MBD5)
  • Preference Points Claim Form (MBD6.1)
  • Declaration of Past SCM Practices (MBD8)
  • Certificate of Independent Bid Determination (MBD9)
  • Pricing Schedule – fully completed in black ink

Supporting Certificates and Proof:

  • Central Supplier Database (CSD) Report – not older than 3 months
  • Valid Tax Compliance Status Certificate or TCS PIN (SARS)
  • Certified ID Copies of All Directors/Members/Shareholders
  • CIPC Company Registration Certificate
  • Municipal rates and taxes statement / Valid lease agreement / Tribal authority letter – not older than 3 months (for company and all directors)
  • Certified copy of Community Health Services Certificate of Acceptability (COA)
  • Proof of funding from a registered financial institution (not older than 30 days)
  • Proof of ownership or hire agreement for two (2) LDVs
  • Signed reference letters on company letterhead from previous clients
