The Gautrain Management Agency (GMA) has issued Request for Proposal GMA/001/26 for the supply and delivery of stationery to Gauteng-operated Driving Licence Testing Centres (DLTCs). This three-year contract operates on an “as and when required” basis, offering suppliers a stable opportunity to support essential public service infrastructure across the province.
Scope of Services – 8 DLTCs & 31 Product Lines
The GMA currently operates eight (8) DLTCs (processing 200‑500 daily applications). Bidders must supply the full list of 31 items (Table 1 in the RFP), including:
- A4/A3 paper reams, staplers, staples, staple removers, Optiplan containers
- Thermal rolls (57mm x 40mm), clipboards, clear packaging tape (48mm x 100mm)
- Fingerprint ink pads (Trodat 9095), ink refills (30ml), DLTC date stamps, rubber fingerettes
- Black ballpoint pens, Post‑it notes (76mm x 76mm), lever arch files, scissors (Orange 210mm)
- A4 2‑quire hardcovers, permanent & temporary markers, occurrence books
- Appointment cards (86mm x 54mm – sample in Annexure A), name tags (60mm x 20mm)
- Toners: HPW9005MC black, HP89A HCF289A, Brother TN3467, Brother DR‑3405, HP59A, Kyocera TK‑8525 black
- File index dividers (A4, ABC A‑Z), A5 diaries (2026, 2027, 2028)
Key Submission Requirements
- All proposals must be submitted exclusively through the TendaSwift e-procurement platform
- Physical submissions will not be accepted under any circumstances
- Bidders must ensure compliance with all technical specifications outlined in the tender documentation
- Pricing must be competitive, inclusive of VAT, and valid for the evaluation period
Mandatory Documents
Bidders must submit:
- Fully completed and signed SBD 1(A), SBD 1(B), SBD 3.1 (Pricing Schedule), SBD 3.2 (Pricing Declaration), SBD 4 (Declaration of Interest), SBD 6.1 (Preference Points Claim Form)
- Latest CSD report, valid SARS tax PIN, valid B‑BBEE certificate or sworn affidavit
- Completed Safety, Health and Environment (SHE) questionnaire
- Signed Supplier Code of Conduct (RFP Part D)
Digital Submission Process
GMA has streamlined its procurement process through digital transformation. Suppliers must register and submit proposals via https://eprocurement.gautrain.co.za. This ensures transparency, efficiency, and secure handling of all tender documentation. Early registration is advised to avoid last-minute technical challenges.
Contract Duration and Delivery
The successful supplier will enter a three-year agreement commencing upon award. Deliveries will be coordinated to 44 Grand Central Boulevard, Grand Central Ext 1, Midrand, Johannesburg. Suppliers must demonstrate reliable logistics capacity and responsiveness to fluctuating order volumes across multiple DLTC locations.
