SAA Seeks Laundry Service Provider for National Operations

South African Airways (Pty) Limited invites qualified service providers to submit proposals for comprehensive laundry and dry-cleaning services under RFP: GSM014/2026. This national tender covers on-board catering linen, lounge services, medical department requirements, and ad-hoc departmental needs. Successful bidders must demonstrate capacity to manage high-volume processing while adhering to strict aviation hygiene and turnaround standards.

Scope of Services and Key Responsibilities

The appointed service provider will handle laundry and dry-cleaning for a range of items from multiple SAA departments.

Core responsibilities include:

  • Processing items from On-board Catering, SAA Lounges, Medical Services, and ad-hoc requests
  • Verifying, counting, and acknowledging all items received from SAA’s Aircraft Groomer/SSP
  • Cleaning, pressing, and packing items per specific requirements aligned with flight schedules
  • Ensuring timely delivery coordinated with SAA’s flight operations
  • Developing a clear handover and tracking process for full accountability
  • Accommodating emergency, irregular operations, and ad-hoc requests

Operational Requirements and Capacity Standards

Appointed providers must maintain a dedicated workspace of at least 300m² and possess equipment capable of processing 1,000 kg daily for both washing and drying. Additional requirements include commercial roller iron machines (minimum 3,000 mm width) and industrial pressing equipment. Providers are responsible for end-to-end logistics, including collection, transport, and delivery aligned with SAA flight schedules.

Detailed Cleaning and Packaging Specifications

The tender includes precise requirements for different item categories to maintain SAA’s brand standards.

  • Blankets & Pillows: Washed, dried, folded, and individually packed in clear, non-perforated double-sealed bags
  • Catering Linen (napkins & tablecloths): Washed, dried, ironed, laid flat, segregated by type, and packed per flight in clear, double-sealed bags
  • Headrest Covers: Dry-cleaned, laid flat, and packed per flight
  • Towels: Washed, dried, laid flat, segregated, and individually packed in labelled, clear, double-sealed bags
  • Curtains: Washed, steamed, folded in pairs, and packed in clear, double-sealed bags

Quality Standards:

  • Items must be free of lint, hair, soap residue, and stains
  • Stained items must be rewashed at no extra cost
  • Heavily stained items require a caustic “hard wash”
  • Permanently stained items must be clearly labelled

Compulsory Briefing and Submission Process

Attendance at the mandatory online briefing session is required for tender eligibility. The session will be hosted via MS Teams on Tuesday, 17 March 2026, at 14:00. Mandatory Documents and Submission Requirements

Bidders must submit a complete response with all required documentation. Failure to include any mandatory document may result in disqualification.

  • Completed and signed SBD 1 (Invitation to Bid)
  • Completed and signed SBD 4 (Bidder’s Disclosure)
  • Completed and signed SBD 6.1 (Preference Points Claim Form)
  • Valid SARS Tax Clearance Certificate or CSD registration proof
  • Company registration documents
  • Proof of workspace (lease agreement or title deed) demonstrating minimum 300m²
  • Equipment inventory list with specifications and proof of ownership or access
  • B-BBEE Certificate or sworn affidavit (for EMEs/QSEs)
  • Proof of compulsory briefing session attendance
