TIKZN Seeks Microsoft 365 Subscription Provider for 12 Months

Trade & Investment KwaZulu-Natal (TIKZN) has issued a Request for Quotation (RFQ) under reference number RFQ202526/96 for the supply of Microsoft Office 365 and Microsoft Teams subscriptions for a period of twelve (12) months. The service will support TIKZN’s core operations, including internal and external communications, document collaboration, cloud storage, virtual meetings, and intranet development via SharePoint. Submissions must be emailed by 12:00 on Wednesday, 4 February 2026, to the TIKZN Supply Chain Management Unit.

This is a time-sensitive opportunity with a narrow response window—suppliers are urged to act promptly and ensure full compliance.

Scope of Service: Enterprise-Grade Cloud Collaboration Suite

The successful service provider will deliver:

  • Microsoft 365 Business Premium or equivalent licenses for all users
  • Full access to Microsoft Teams, Outlook, Word, Excel, PowerPoint, OneDrive, and SharePoint
  • Cloud-based email hosting, calendar, and file sharing capabilities
  • Secure virtual meeting functionality with recording and transcription features
  • Technical support, license management, and user provisioning throughout the contract term

All services must be delivered through an authorised Microsoft reseller with valid partnership credentials.

Mandatory Submission Requirements

To be considered, quotations must include:

  • A formal quote on company letterhead, clearly specifying the subscription type, per-user cost, and total annual amount (VAT-inclusive)
  • Valid SARS Tax Compliance PIN
  • Proof of registration on the Central Supplier Database (CSD)
  • Completed Standard Bidding Document 4 (SBD 4 – Declaration of Interest)
  • Proof of authorised Microsoft reseller status (e.g., MPN ID or partner certificate)

Quotations must be submitted exclusively via email—no hard copies, faxes, or postal submissions will be accepted.

Evaluation Criteria: 80/20 Preferential Procurement System

Quotations will be scored using the 80/20 system:

  • 80 points: Price (lowest compliant quote = 80; others scored proportionally)
  • 20 points: Specific Goals, including Black, women, youth, disability, and military veteran ownership

Only complete, responsive, and compliant submissions will be evaluated. All pricing must be firm, all-inclusive, and valid for 90 days from the closing date.
