The Mnquma Local Municipality in the Eastern Cape has issued a Request for Quotation (RFQ) under reference number SCM/MLM/72/25-26 for the hiring of tents, chairs, and generators to support a series of community roadshows across multiple wards. The contract covers the supply, delivery, setup, and collection of equipment for eight events at schools and community halls. Submissions must be delivered in hard copy by 12:00 on Wednesday, 4 February 2026, to the Municipal offices in Butterworth.
This is a short-term, high-impact opportunity for event equipment suppliers to support civic engagement and service delivery in rural Eastern Cape communities.
Scope of Services: Full Event Equipment Package
The successful service provider will supply and manage:
- Two-pole tents (one per venue)
- 120 plastic chairs per event
- One generator per site (sufficient to power lighting and sound systems)
- Delivery, setup, supervision, and collection of all equipment
Events will take place at eight locations, including Luzipho JSS, Qoliwe JSS, Ntseshe JSS, and Zakancinci Hall, among others. Delivery must occur within 15 days of receiving a purchase order.
Mandatory Submission Requirements
To be considered, quotations must include:
- A completed pricing schedule with unit price, VAT (15%), and total amount per item and per event
- Valid SARS Tax Compliance PIN or clearance certificate
- Proof of registration on the Central Supplier Database (CSD)
- B-BBEE Certificate or sworn affidavit (required to claim preference points)
- Completed Standard Bidding Documents: MBD 4 (Declaration of Interest) and MBD 6.1 (Preference Points Claim)
- Company profile and proof of experience in event equipment hire
Quotations must be submitted in hard copy only—no email, fax, or postal submissions will be accepted.
Evaluation Criteria: 80/20 Preferential Procurement System
Quotations will be scored using the 80/20 system:
- 80 points: Price (lowest compliant quote = 80; others scored proportionally)
- 20 points: Specific Goals, including Black, women, youth, disability, and military veteran ownership
Only complete, responsive, and compliant submissions will be evaluated. All pricing must be firm, all-inclusive, and valid for 90 days from the closing date.
