The Mine Health and Safety Council (MHSC) has issued a Request for Quotation (RFQ) under reference number RFQ1994 for the appointment of a professional service provider to execute the full relocation of MHSC’s office assets from its current premises in Woodmead, Johannesburg, to its new office at Tuscany Office Park, Rivonia, Sandton. The scope includes packing, transportation, disassembly, reassembly, and setup of all furniture, IT equipment, and archival materials. Submissions must be emailed by 11:00 on Monday, 2 February 2026.

This is a time-sensitive, one-month contract opportunity for experienced office relocation specialists with a proven track record in corporate moves.

Scope of Work: End-to-End Office Relocation

The successful service provider will deliver a comprehensive relocation solution, including:

  • Packing and labelling of all office assets, documents, and equipment using appropriate materials
  • Disassembly and safe handling of modular workstations, filing cabinets, and office furniture
  • Secure transportation of all items over a distance of approximately 7 kilometres
  • Reassembly and workstation setup at the new Tuscany Office Park premises in accordance with MHSC’s layout plan
  • Coordination with MHSC representatives to ensure minimal disruption to operations
  • Cleanup of both origin and destination sites post-move

All services must be completed within four (4) weeks of contract commencement.

Mandatory Requirements and Documentation

Bidders must submit the following to be considered:

  • Valid registration on the Central Supplier Database (CSD)
  • SARS Tax Compliance PIN or clearance certificate
  • B-BBEE Certificate or sworn affidavit (Level 1–8 or EME/QSE)
  • Public Liability Insurance of at least R500,000
  • Three verifiable client references for similar office relocation projects (minimum R100,000 value each)
  • Completed Standard Bidding Documents: SBD 4 (Declaration of Interest) and SBD 6.1 (Preference Points Claim)

Failure to provide any mandatory document will result in disqualification.

Evaluation Criteria: Functionality and 80/20 Preference System

Quotations will be scored based on:

  • Project Plan (20 points): Clear timeline, methodology, and risk mitigation
  • Experience & References (30 points): Demonstrated history in corporate office relocations
  • Price Competitiveness (80 points): Lowest compliant quote = 80; others scored proportionally
  • Preference Points (20 points): Allocated per the 80/20 system for Black, women, youth, and disability ownership

Only complete, responsive, and compliant submissions will be evaluated.
