DFFE Seeks Food Supplier for SANAE Antarctic Voyage 2026

The Department of Forestry, Fisheries and the Environment (DFFE) has issued a Request for Quotation (DFFEQ 235 FOOD SANAE 2026) for the supply and delivery of food provisions to the South African National Antarctic Programme (SANAP). This strategic procurement ensures that personnel operating in remote and extreme environments are supported with reliable, high-quality nutritional supplies, upholding South Africa’s commitment to its polar research missions.

Scope of Supply and Delivery

The successful service provider will be responsible for the timely provisioning of essential food items. Key deliverables include:

  • Supply of bulk dry food ingredients, frozen foods, bread, and dairy products.
  • Delivery to the SANAP Warehouse situated at the East Pier Building, V&A Waterfront, Cape Town.
  • Execution of deliveries within 10 days of receiving an official purchase order.
  • Maintenance of strict cold-chain integrity for all frozen and perishable goods during transit.

Environmental and Packaging Compliance

Given the pristine nature of the destination environments and the critical need to prevent the introduction of alien species, bidders must adhere to stringent packaging protocols. All packaging materials and specifications must fully comply with DFFE’s environmental biosecurity standards. Non-compliant packaging will be rejected to safeguard the ecological integrity of the Antarctic and sub-Antarctic islands.

Mandatory Compliance Requirements

Bidders must submit the following documents with their quotation:

  • Completed RFQ Form with VAT per item (where applicable)
  • Quotation on company letterhead including correct banking details
  • Completed and signed SBD 4 (Bidder’s Disclosure)
  • Completed and signed SBD 6.1 (Preference Points Claim Form)
  • SARS Tax Status PIN or Central Supplier Database (CSD) number or report
  • B-BBEE Certificate or Sworn Affidavit
  • CIPC Ownership Certificate
  • Medical Certificate (if claiming disability points)
  • CSD Registration Report or MAAA number

Submission Guidelines

There will be no briefing session for this procurement. Completed quotation documents must be placed in a sealed envelope, clearly marked with the RFQ number (DFFEQ 235 FOOD SANAE 2026) and the description “Supply and Delivery of Food for SANAE”. Envelopes must be deposited in the designated tender box at the DFFE offices, East Pier Shed, East Pier Road, V&A Waterfront, Cape Town, 8001. The strict closing time is 11:00 on Friday, 23 October 2026. Late, faxed, or emailed submissions will not be accepted.
