ARC Invites Quotations for Catering Services in Thaba Nchu

The Agricultural Research Council (ARC) has issued Request for Quotation ISC01REQ003208 for the provision of catering services at two locations in Thaba Nchu, Free State Province. This urgent procurement targets qualified food service providers capable of delivering quality meals for agricultural events on 26 and 27 March 2026.

Tender Overview and Service Scope

The RFQ seeks a reliable catering partner to serve 50 attendees per day across two venues:

  • 26 March 2026: Spitskop, Thaba Nchu
  • 27 March 2026: Tabale, Thaba Nchu

The appointed service provider will be responsible for food preparation, on-site service, and post-event cleanup in full compliance with food safety regulations.

Menu Specifications and Delivery Requirements

Bidders must quote for the following menu items per day:

  • Stiff pap with grilled chicken thighs and beef wors
  • Tomato relish with pumpkin and creamed spinach
  • Fresh fruit: 18kg bulk box bananas and 18kg bulk box apples
  • Still water (500ml bottles) x 100
  • Assorted soft drinks x 100

All food must be prepared in hygienic conditions and delivered hot to the specified venues.

Mandatory Compliance Documentation

Proposals will be disqualified without:

  • Valid Certificate of Acceptability (COA) issued by local health authority
  • Active Central Supplier Database (CSD) registration with full report
  • Completed and signed SBD forms (SBD1, SBD4, SBD6.1)
  • Tax Compliance Status PIN or SARS certificate
  • Company registration documents (CIPC) and certified director ID copies
  • Valid B-BBEE certificate or sworn affidavit for preference point claims

Evaluation and Preference Point System

Quotations will be assessed using the 80/20 preference point system:

  • 80 points allocated for price competitiveness
  • 20 points for specific goals

Submission Guidelines and Deadlines

Quotations must be emailed to mtungwaf@arc.agric.za by 11:00 on Monday, 23 March 2026. Late submissions will not be considered. Prices must be quoted in South African Rand, inclusive of VAT and all delivery costs. Quotations must remain valid for the period indicated by the bidder.
