Prospective service providers must submit their bids in sealed envelopes to the designated bid box at the municipal office before the closing date. No emailed or faxed bids will be considered.
Scope of Work
The successful bidder will be responsible for the booking and management of a conference venue and catering services for a two-day municipal session. The minimum service requirements are as follows:
Conference Venue Facilities:
- Must accommodate 60 guests.
- Provision of Wi-Fi, projector, flipchart, and markers.
Catering – Day 1 and Day 2:
- Breakfast Service:
- Buffet-style breakfast
- Tea, coffee, juice
- 500ml bottled water per guest
- Lunch Service:
- Two starches
- Two meat dishes
- Two vegetable sides
- Two salads
- Soft drinks
- 500ml bottled water per guest
These services must be provided consistently on both days.

Special Conditions
- Bidders must pay a non-refundable fee of R2,000, payable at the municipal cashier or via EFT. Proof of payment must be emailed to the municipality to receive the full tender document.
- Bidders must be registered on the Central Supplier Database (CSD) and include a current CSD report.
- The contract is governed by the municipality’s Supply Chain Management policy and general conditions of contract.
